Award Ceremonies

Useful Information

DEBTS TO THE UNIVERSITY
It is University policy that students who have any outstanding debts will be unable to attend the ceremonies. This may include library fines, unpaid tuition fees, unpaid accommodation fees etc. Please contact Finance and Planning on 01242 714222 to discuss any issues you may have regarding outstanding debts. You should still apply for tickets now as it may be too late after you have cleared your debt.


LATE AWARDS
If your Award is confirmed by a Board of Examiners after 15th October 2012 (but before the 5th November 2012), you may still be eligible to attend the ceremonies however your name will not be included in the commemorative programme.


LATE ARRIVALS
Please ensure that you allow plenty of contingency time and arrive at least 1.5 hrs before the ceremony start time to save any embarrassment to you / your guests.

If you arrive after the ceremony has commenced, your name may not be read out and you may not be able to take part at all.

Any late arrivals for the ceremonies should go immediately to the registration desk. The staff member will then decide on the best course of action. If you are not too late, we will make every effort to get you and your guests seated in the ceremony. If the presentation of awards is already underway you may not be able to process with colleagues from your course / your name may not be read out.


CHILDREN AT THE CEREMONIES
Experience shows that children become bored and restless during the ceremonies, which can be up to 2 hours long. We therefore do not recommend that young children attend. However, we do recognise that, in some cases, it is not possible to make alternative arrangements. Children who are under the age of 3 would not need a ticket but must, however, sit on an adult guest's lap. Children over the age of 3 need to have a full-priced guest ticket and their own seat. We would recommend that anyone bringing children sits near an exit. Please note: guest seating is not allocated and therefore if you require a seat by the exit it is advisable to arrive early.


REFUNDS
If you do not successfully complete your course you will automatically receive a full refund for any guest tickets you have purchased (after all of the ceremonies have taken place).
If you are unable to attend the ceremony for any other reason and you inform us in writing/by email or return a completed refund request form with the unwanted tickets by the published deadline, you will receive a full refund. Ticket charges are non-refundable if cancelled after this date except if the cancellation is due to academic failure

In line with most ticketed events, refunds will not be issued to ticket holders who are unable to attend due to personal/ health/weather/travel reasons on the day unless the event itself has to be cancelled. Similarly, if you do not inform us before the stated deadline that a guest cannot attend, we will not be able to provide a refund for that ticket.

All refunds will be made in the manner in which payment has been received and will be actioned AFTER the ceremonies have taken place. Please check your account in late November / December to confirm that the refund has been provided if you originally paid online. If you cannot see the refund by Christmas, please contact the Finance Department - fees@glos.ac.uk
